In a multi-tenant building the main entrance belongs to the landlord or the managing agent. Run the building as one system with one flat user list and you have quietly made the managing agent custodian of every tenant’s staff records. Run separate credential scopes — shared doors administered by one named person, each floor by that tenant’s own person — and most of the awkward conversations never start. A tenant’s HR removes a leaver from its floor; the building’s administrator removes them at the lobby. Two people, two actions, ideally the same morning.

That is where buildings fail. The commonest failure on a shared-entrance job is not technical at all: it is that nobody was ever named for the shared doors. A tenant’s list gets cleaned because HR feels the consequence of not cleaning it. The lobby list belongs to everyone and therefore nobody, so the building accumulates live credentials for people who left years ago — and for tenants who left the building.

Separate scopes also cover the tenant who refuses outright: law firms, clinics and anyone carrying a group policy from abroad will not let a managing agent hold their staff’s biometric enrolments, and are entitled not to. Discovering that at handover means re-enrolling the building.

Before you order — three things to confirm

• A named owner per door group — write down, before the order goes in, who administers the shared doors and who administers each tenant floor. A name and a phone number, not a department. Blank at handover means removals never happen.
• Whose database — confirm whether tenants accept the agent’s system holding their enrolments, or whether each needs its own scope, invisible to the others. That decision belongs to the client and must be taken before enrolment starts.
• What is already at each door — the terminal has to suit the lock, the exit arrangement, any controller already fitted and the cabling you can reach that position with. Check the interface detail on the datasheet first.

That depends on how the scopes are configured in the management software, not on the terminal. Design it before enrolment begins; most tenants want the answer to be no.

Who removes a leaver from the lobby?
Whoever you named for the shared door group at order stage. A tenant’s HR clears that person from its own floor the same morning, but with nobody named for the entrance the lobby record stays live indefinitely.
